My inbox is connected. I want you to write my email voice guide: a manual for how I write, so that you can then draft emails that sound exactly like me. Step 1: read my SENT emails from the last 3 months. Take a varied sample: emails to colleagues, to clients, follow-ups, short replies. Ignore automatic signatures, forwards and one-line emails. Step 2: identify my voice. My openings, my verbal tics, my abbreviations, how I structure things, my sign-offs, my register. Note the expressions I repeat. Step 3: before writing the guide, ask me these 4 questions, one at a time: 1. Am I formal or informal with colleagues by default? 2. Do I use emoji in work emails, or never? 3. Are my emails short and direct, or complete and measured? 4. Is there a phrase I hate seeing in an email? Step 4: write a ready-to-use guide: my voice in one sentence, my openings by recipient, my tics and vocabulary, my structure, my sign-offs, 4 to 5 do rules, 4 to 5 don't rules, and 2 to 3 of my real emails as examples. Anonymise client names and sensitive figures. Rules: base everything on my real emails, don't invent a style I don't have. Quote concrete examples. Deliver a finished guide, not a draft. To finish, write a test email in my voice on a situation of your choosing, so I can check it rings true.
